   4 Faculty - Early Alert

"Some Community-College Students Fall Through the Cracks in Their First Month"
- Chronicle of Higher Education

What is Early Alert? - When used and used early, Early Alert is a key strategy for promoting the academic achievement and success of students.

Early Alert is the process of:

  1. Early Assessment - Identifying students who are experiencing difficulties in the classroom
  2. Referral - Determining the type of intervention needed

  3. Support Services - Providing the necessary support services for students to overcome their difficulties and succeed academically

For questions or comments about Early Alert and Early Assessment, please contact:

Thank you for promoting student success!

Step 1 – Early Assessment

An effective Early Alert system relies on effective Early Assessment in the classroom, e.g. student's attendance, classroom participation/study habits, performance, behavior/conduct, etc.

Step 2 – Referral

Which type of intervention best meets the student’s “needs” in the most appropriate time?

  1. Direct referral to campus support services
  2. Direct referral to Counseling Center

  3. Follow-up “bubble” via Online Drop Sheet

Option A.  Direct referral to campus support services

Tip – this is the most immediate Early Alert option for faculty

Action if a student’s “needs” ARE well understood and can be addressed by student services, then refer the student directly to the corresponding service area

When – refer students as SOON as you observe them having difficulty in your class

How – for effective support please use a green Student Referral Form and clearly indicate a Purpose for Referral. Copies of the referral form are available in the faculty mailroom.

References - sample referral form or
tutorial on how to use the referral form.

Option B.  Direct referral to Counseling Center

Actionif a student’s “needs” are NOT well understood, then refer the student directly to the Counseling Center (Room A-110, Phone: 388-3540) for academic, career or personal counseling.

When – refer students as SOON as you observe them having difficulty in your class

How – for effective support please use a green Student Referral Form and clearly write “Early Alert Referral” in the Purpose for Referral section.

What happens – a counselor will:

- identify personal needs,

- assist in the development of a Student Action Plan

- and recommend referrals to available support services.

A follow‑up visit will also be scheduled, as needed.

For questions & assistance about this referral option, please contact:

Tandy Ward - Academic Success Center Counselor

Room A-110, Phone: 388-3679, Email: tward@sdccd.edu

Option C.  Follow-up “bubble” via Online Drop Sheet

Note – this is an ANONYMOUS referral option: students referred via the follow-up bubble will benefit from the services of the Counseling Center, but the referring instructor will NOT be identified.  Also, this option requires a time delay before the student is assisted.
If a student has an urgent need, then please use Referral Option A or B.

Actionif referral options A & B are not suitable methods of intervention, then use the “follow-up” bubble on the Online Faculty Drop Sheet for any student in need of support

When – use the follow-up bubble option as SOON as you observe any student having difficulty in your class

How – select the follow‑up bubble on the Online Faculty Drop Sheet and submit your selection

What happens – students will receive an email AND a letter from Counseling informing them that they have been identified as having difficulty in a class. These students are strongly encouraged to meet with a counselor to:

- identify personal needs

- develop a Student Action Plan

- and receive referrals to available support services.

A follow‑up visit will also be scheduled, as needed.
